Guidelines for Moderators and Session Chairs

FOR MODERATORS AND SESSION CHAIRS:

We thank you for accepting this role to help us along with the conference programme. You have a critical role in ensuring sessions run smoothly, on time, and inclusively. 

We request that you manage the following during your assigned session:  timekeeping, speaker introductions, managing Q&A and coordinating with your co-chair and technical staff if needed. Key expectations include arriving at the venue and stage early, familiarity with the programme, and maintaining a respectful, engaging atmosphere.

Suggestions for Moderators and Session Chairs:

-        Arrive at the session room 10-15 minutes before the session starts to prepare and meet with speakers, co-chairs, and AV technicians.

-        Confirm attendance of all scheduled speakers; coordinate with organizers in case a speaker is not present.

-        Introduce yourself to presenters of your session, AV technicians and conference assistants; coordinate how to signal time limits (e.g., cutting off microphones).

-        Test your audio (microphone)

-        Review the session order and confirm no last-minute changes

-        You may prepare and deliver a brief introduction (2–3 minutes) outlining the session theme, structure, and ground rules (e.g., time limits, Q&A format).

-        Introduce each speaker clearly: name, affiliation, presentation title—keeping introductions concise and professional.

-        Enforce strict time limits: and politely interrupt if a speaker exceeds their time.

-        After all the presentations of the session, manage Q&A by soliciting questions from the audience.  Ensure balanced participation—avoid letting one person dominate.  Have backup questions ready in case of silence.

-        Close the session on time:

o   thank speakers and attendees;

o   invite further discussion during breaks,

o   remind everyone to visit the poster sessions.
